Department of Commerce Office of General Counsel-EDMS

A legal counsel organization in the Department of Commerce required an electronic data management solution (EDMS) to improve their efficiency and foster collaboration across the organization. Evanhoe & Associates, as a member of prime contractor Digital Prospectors Corporation’s (DPC) team, conducted interviews to define and document the requirements for the EDMS. Evanhoe & Associates’ focus and attention proved so successful during the requirements gathering activity that the legal organization issued a supplemental contract to provide for continued support by key Evanhoe & Associates’ personnel during the implementation of the EDMS.

This legal counsel organization has a unique organizational makeup, with different attorneys in fourteen different bureaus and at various physical locations across the US. It is the pilot or prototype for an EDMS to serve the entire Department of Commerce, and, if successful, the EDMS application may be extended across the entire agency. Evanhoe & Associates was brought in as subcontractors to Digital Prospectors Company to perform a requirements and design analysis activity, involving focused interviews of key personnel and a customized Requirements Traceability Matrix (RTM).

Immediately upon contract award, the Evanhoe & Associates team brought an enterprise focus and mindset to the EDMS activity that was key in the organization’s success in defining, acquiring, and implementing an enterprise document management system within nine months. Evanhoe & Associates personnel successfully defined a comprehensive set of requirements for the system design, and then supported the organization during the source-selection process. Key Evanhoe & Associates team members continue to provide consulting and support to the legal organization as they deploy their EDMS solution.
